CA Practice Operations Desk
The paperwork moves. The professional stays in control.
A separately priced administrative kit based on the supplied CA-firm workflow reference: client-support intake, new-lead routing, document-status/request drafts, approved compliance-deadline reminders, invoice-status follow-up, and partner escalation. It reads only firm-approved data; no tax advice, filings, payment initiation, or professional decisions are automated.
Workflow
- Import the inactive synthetic workflows
- Map firm-owned tables and client/owner identifiers
- Add only approved provider credentials inside n8n Credentials
- Test missing records, opt-outs, stale deadlines/status, and partner handoff
- Approve each production communication separately; no filings or payments are initiated
Operational contract
- Trigger
- Approved firm website/email/WhatsApp event or manually tested support, document, deadline or invoice-status record.
- Source data
- Firm-owned Clients, Leads, Documents_Tracker, Compliance_Calendar, Invoices, Query_Log and Error_Log fields; confidentiality permission, partner-approved source dates/status and staff owner.
- Action
- Prepare administrative intake, document/deadline/status reminder and partner handoff drafts. A partner approves all external communication; no tax advice, government filings, payment initiation, invoice changes or substantive professional decisions.
- What to measure
- Time to staff/partner review, approved deadline completeness, unresolved document count, overdue source-status reminders and exception age. Do not infer statutory compliance or financial outcomes.
- AI + rules
- Starter Code nodes validate synthetic data and prepare drafts using explicit rules. Included prompts and JSON schemas guide a separately configured, approved AI classification/extraction step; starter rules are not presented as AI execution.
- Human fallback
- Missing facts, uncertain answers, unsupported actions, and provider failures go to the named business owner’s review queue.
- Logging
- The starter returns a workflow name, correlation ID, status, and audit/action draft. Production adapters must persist event/version/owner/timestamps and communication outcomes in the approved source or log store.
- Errors & duplicate prevention
- Recheck current source status before writes/sends. Use a durable idempotency store keyed to event/record and action; demo flags are not production deduplication. Failed adapters must create an owned exception, not silently retry consequential actions.
